Here is a list of the different options that are available for the contribution reports. Not all options are available for every report. Next to each option is a list of the reports that have the option available.
Sort Order - Available on Contribution, Totals, Receipts & Detail Reports.
The sort order box can be used to sort the report by any of the available fields. In the above example, the report would be sorted first by Fund, then by Amount, etc. To move a field up or down in the sort priority, click on the field in the list and then use the or buttons. Optionally, you can double click on a column heading on the report to sort by that field. For example, double click on or to sort by either name or amount.
For NTS versions 5.60 and above, check the Descending Order box to sort the list in descending order. For NTS Versions prior to 5.60, double-click on the Sort Order box title to change from ascending to descending and back again.
The sort order is only available on the Contribution and Total Reports when the Show Itemization option is NOT checked
Date Range - Available on all reports.
This option allows the user to specify a date range for the report. To change the date range, click on the start and/or date and choose a different date from the calendar. Double-click the text "Date Range" to select the entire Calendar Year. Clicking on the left or right arrow buttons with the RIGHT mouse button will change the date by one year. If you only want transactions for one day, set the start and end date to the same day, as in the above example.
Filters - Available on Contributor, Totals, Deposit Slip & Detail reports.
The following filters are available to view a report that meets the specific criteria that you select:
Service Filter - To view data for only one service, click on the service box and a list of all available services will appear. Click on a service to see contributions for that service only. To select more than one service, press and hold down the CTRL key and then click on each service you want to include on the report.
Fund Selection Filter- To view data for only one contribution fund, click on the fund box and a list of all available funds will appear. Click on a fund to see contributions for that fund only. To select more than one fund, press and hold down the CTRL key and then click on each fund you want to include on the report.
Name Selection Filter - To view data for only one contributor, click on the name box and a list of all contributors will appear. Click on a name to see contributions for that individual only. To select more than one contributor, press and hold down the CTRL key and then click on each contributor you want to include on the report.
Type Filter - To only include a certain type of contribution (check, currency, coin, etc) in the report, select the desired type from the drop down list. To select more than one type, press and hold down the CTRL key and then click on each type you want to include on the report.
To quickly select the types Check, Currency and Coin, click the Select Check and Cash option below the Types box. To see only electronic contributions (Credit Card, Debit Card and EFT), click the Select Electronic Types box. (These options are only available on NTS version 5.90 and above.)
Tax Exempt Filter - To include only tax exempt or non-exempt contributions, select yes or no respectively. (Only available on NTS version 4.20 and above.)
Show Envelope Number - Check this box to view the envelope number for the contributors in the report. The envelope number column is hidden by default. This option is only available on the Detail report.
Rare Circumstance Filter - Check the Yes box to show only contributions that have been marked as a rare circumstance or No to see only contributions that are not classified as a rare circumstance. This option is only available on the detail report and only on NTS version 5.50 and above.
Show Column Options - The show option gives the ability to hide the service, fund, name, type or Exempt columns on the Detail report. Check / un-check the Show box to show / hide the column. The exempt column is hidden by default. The show column options are only available on the Detail report.
Totals - Available on the Totals Report
This option on the Totals Report will create not just a single total but totals on a weekly or monthly basis. This option is only available on NTS version 5.20 and above.
Single: Produces a single total for the given date range. This is the default option.
Monthly: Produces a total for each month in the given date range.
Weekly: Produces a total for each week in the given date range.
Amount Filter - Available on Receipts & Detail reports.
Use this filter see a list of contributions that are either greater than or less than a given amount. The default setting is greater than. To see amounts greater than a given amount, just type in the amount in the amount box.
To see a list of contributions less than a given amount, double click on the word "Amounts". The symbol will change from '>' to '<'. Next, type in the amount.
Report Format Options - Available on Contributor & Totals reports.
Show Itemization - This option is turned on by default.
- Contributor Report - Report shows each contributor with amounts given for each fund and grand totals by fund. With this option off, only a total for each contributor and a single grand total for all contributors will be displayed.
- Totals Report - Report shows amounts for each service by fund and grand totals for each fund. With the option turned off, the Totals report only displays a total for each service and a grand total for all services.
- Hide Totals - This option is only available on Contributor Report when the Show Itemization box is not checked. With this option selected, the report will only show the names of the contributors.
- Show Comments - Check this box to view comments for contributions. (Only available on NTS versions 5.70 and above.)
