How does the check scheduler work?


The check Scheduler can be used to remind you of and post checks that you write on a regular basis. This feature works for both Checks and E-Checks.

Add to Check Scheduler?

After you have written a check and before you save the check, a box, like the one above, will appear above the Save Changes Button. To schedule the check for a future date:

  1. Type in a description of the check in the Description box if want it. (A description is not required.)
  2. >Select the Frequency of the check. The default setting is Monthly. To change the frequency, click on the Frequency box and select the frequency you want.
  3. In the "Next Check Pay Date" box, select the date you want NTS to remind you that a payment is due. Click OK to save the reminder.

Optionally, you can schedule a check without entering it into the checkbook.

  1. From the Checkbook screen, click on Setup and then Check Scheduler.
  2. Click the Add Scheduled Check button.
  3. Fill out the due date, type, description, $ amount, frequency, payee and Bank Account. Only the description is optional. All other fields are required.
  4. Click the add plus button to add a transaction detail line. Fill out the transaction detail just as you would a check entered into the checkbook directly.
  5. After you have finished entering the check information, you can exit the Check Scheduler screen. The check will be saved automatically.

When opening the Checkbook screen, the Check Scheduler screen (see illustration below) will appear when one or more checks are due to be paid. This screen will appear before the normal Checkbook screen so you can't miss it. To post your scheduled checks:

  1. Items that are highlighted in yellow are the items that are scheduled to be paid. If you only to post some of the checks due, de-select the checks you don't want to print by double clicking in the "Post Chk?" column. The 'X' will be removed. Checks that you de-selected will appear again ready to be posted the next time you go to the checkbook screen.
  2. You can also select other checks to post, which are not currently due by double clicking in the "Post Chk?" column. You should see an 'X' appear and the check will be moved towards the top of the list.
  3. Verify that "Today's Date" at the top of the Check Scheduler screen is the date that you want to use as the Check Date. If it is not, click on the date and change the date to the date you want. All checks will be posted on the date selected, not the Due Date.
  4. In NTS version 4.50, the system also will generate the check number for each check and display it next to the check type. To use a different number, click on the number and type in the new number.
  5. After you have selected the checks to be posted, verify the amount. If an amount needs to be changed, click on the dollar amount and type in the new amount. You will also need to change the amount in the transaction detail at the bottom of the window. The check amount and the detail amount must add up to the same amount.
  6. If necessary, you can change any of the expense or internal accounts. Click on any part of the transaction detail to change accounts or to edit the comments. If you need to add or delete any lines of the transaction detail, see the instructions above.
  7. After you have changed all amounts that need to be changed, click the "Post Scheduled Checks" button. The selected checks will be posted to your bank account(s). The check numbers used will be the next available check numbers.
  8. If you are not ready to post any of the selected checks, click the Exit button or press the Escape (Esc) key to return to the checkbook screen.

To print a list of your scheduled checks, click the print button in the upper right corner of the window.

If there happens to be a problem with a check that prevents the software from posting the check, the Post Chk? column for that check will be red. The second check in the example below would be an example. The red indicates there is a problem with the transaction detail. This problem will have to be corrected before the check can be posted.

Click on the check and look for any part of the detail that has "???????". This indicates an account could not be located. You will need to select a new account. The other problem could be an amount problem. Check the total of the detail and the check amount. These two amounts must be equal.

Other problems could exist with the payee or bank account. If there is a problem, the payee or bank account box will be red as well. Click on either the payee or bank account boxes to make a correction.

You can view your scheduled checks at any time. From the Checkbook screen, click the Check Scheduler button at the top of the screen. On NTS versions 4.52 and before, click on Setup and then Check Scheduler. To see scheduled checks for a specific bank account, choose the bank account in the drop down list at the top of the screen.
